TRAVEL RESPONSIBILITIES

PACHA TOURS & TRIPS E.I.R.L. acts only as an agent for the passenger in regard to travel, whether by road, railroad, boat, airplane, helicopter, or horse, and assumes no liability for injuries, damages, losses, accidents, delays or irregularities that may be caused either by reason of act or default of any hotel, carrier, boat, restaurant, company or person, rendering any of the services included in the trip, or any other circumstances beyond their direct control.
PACHA TOURS & TRIPS  E.I.R.L. and/or its agents accepts no responsibility for losses or additional expenses due to delays or changes in flight schedules, loss of (or damage to) baggage or any article belonging to the passengers, sickness, personal health, weather, strikes, roads and trails' conditions, river levels, delays in transportation, wars, accidents, chance, force major or other reasons. Such losses or expenses will be borne by the passenger, as tour rates provide for arrangements only for the time stated.
Many of the activities involved in the tours may be inappropriate for those people with severe health problems or physical disabilities. It is the passenger's responsibility to judge the appropriateness of these activities considering his or her physical capabilities.
Trip members are responsible to select a program appropriate to their abilities and interests. In order to assist you with the suitable itinerary we are happy to discuss the program, and provide you with the experience granted by our professionalism of the program you are interested in. Trip members are held responsible for being in good health to undertake the trip and also for preparing for the trip by studying the itinerary and pre-departure information packages, for bringing the appropriate clothing, equipment and personal documentation as advised therein.

INSURANCE AND MEDICAL ISSUES

If any of our tour participants gets sick or is incapacitated, we seek medical attention by a qualified medical professional. The client will assume the total cost of the medical treatment and/or hospitalization, if necessary. In case of accident and/or if evacuation is necessary, all the expenses will be completely covered by the client.
PACHA strongly recommends its clients purchase a Travel Medical Insurance plan at home, to avoid extra not recoverable expenses during your stay in Peru. 

RESERVATION PROCESS

Early reservations are recommended in order to guarantee hotel accommodations. During the high season (May to October and months of June and December), PACHA suggests that reservations be made at least six months in advance in order to confirm space. All the reservations must be sent in writing via e-mail with all the specifications of the client’s request.

PAYMENT PROCESS

Individuals:

The payment is due 60 days prior to arrival date. In the event of a reservation received after 45 days prior to arrival date, full payment should be sent as soon as PACHA confirms the request. Certain hotels may require additional deposits to guarantee space, especially during the high season.
Important note: a copy of the deposit with the client’s invoice or reservation number must be sent by email so that PACHA knows the deposit has been made.

Groups:

The groups will be confirmed in writing based on the requests. A deposit of 50% of the total amount invoiced is required as soon as PACHA confirms the trip. Full payment should be sent 60 days prior to arrival date. Certain hotels may require additional deposits to guarantee space, especially during the high season.
Important: a copy of the deposit with the client’s invoice or reservation number must be sent by email so that PACHA knows the deposit has been made.

Adventure Tours:

The adventure tour confirmation will be send to clients after PACHA checks the availability to start a hike on the requested day. A deposit of the 50% over the total amount invoiced is required as soon as PACHA confirms the tour.

 CANCELLATIONS AND REFUNDS

Cancellations must be received in writing a minimum of 60 days prior to the arrival date. In such cases, 75% of the deposit will be refunded, the remainder will be forfeited for guaranteed deposits to hotels and tour coordinators. If cancellation is requested 45 days prior to the arrival date, 50% of the deposit will be refunded, the remainder will be forfeited for guaranteed deposits to hotels and tour coordinators. If cancellation is requested 30 days prior to the arrival date, PACHA will charge 100% of the total  trip cost.
PACHA is not responsible for non-recoverable expenses incurred by travelers in preparing for a cancelled trip, such as a non-refundable advance purchase hotel, transfers, tours, etc., not for any necessary additional arrangements should the applicant have embarked prior to the departure date. Certain hotels have more strict cancellation and refund policies. These vary according to each hotel and depend on additional circumstances (time of the year, occupancy rate,etc.).
PACHA highly recommends that its clients purchase a Travel Cancellation Insurance.

Adventure Tours:

Cancellations must be received in writing a minimum of 30 days prior to the arrival date. In such cases, the guaranteed deposits for Inca Trail bookings and/or tour coordinators will be forfeited and the remaining money will be refunded. If cancellation is requested 15 days prior to the arrival date, 50% of the deposit will be refunded, the remainder will be forfeited for guaranteed deposits to Inca Trail bookings and/or tour coordinators. If cancellation is requested 7 days prior to the arrival date, PACHA will charge 100% of the total tour cost.
